Information we collect

We collect the minimum data needed to operate Fleetile and to give you a working dashboard. Most of it comes directly from you or from the GPS devices you've installed in your vehicles. Here's the full picture of what gets stored:

• Account & profile: name, email, company, role.
• Fleet telemetry: GPS positions, speed, heading, ignition state, trips, geofence events.
• Device data: IMEI, SIM info, firmware version, last-seen timestamp.
• Usage data: IP address, browser, pages viewed, click events.
• Communication data: anything you send to support.

How we use your data

We process data only for purposes you would reasonably expect from a fleet tracking platform: running the service, keeping it safe, and making it better.

• Operate the platform: live tracking, history, alerts, reports.
• Deliver service emails, push notifications, and security alerts.
• Detect abuse, fraud, and security incidents.
• Improve product quality through aggregate analytics.
• Comply with legal obligations when required.

Who we share data with

We share data sparingly, and only with parties we trust to handle it under strict contractual safeguards.

• Infrastructure subprocessors (cloud hosting, database, push notification, email delivery), all bound by data-processing agreements.
• Law enforcement only when legally compelled by a valid order.
• Never with advertisers or data brokers. We do not sell personal data. Full stop.

How long we keep it

We retain data only as long as needed to provide the service and meet legal obligations. After that, it's deleted or anonymised.

• Account data: while your account is active, plus 90 days after closure for billing reconciliation.
• Fleet telemetry: as long as your plan retains it (default 12 months for trip history), then archived to cold storage.
• Backups: rotated every 90 days.
• Aggregated, anonymised analytics may be retained longer.

Cookies & tracking

We use a minimal set of cookies, and you control the optional ones. Essential cookies (authentication, session, security) cannot be disabled without breaking the platform. Analytics cookies are off by default in regions that require opt-in, and you can decline them anywhere via the cookie banner. We don't use third-party advertising cookies.

How we protect your data

Security isn't a feature; it's a precondition. We treat your data the way we'd want ours handled.

• End-to-end TLS in transit; AES-256 encryption at rest.
• Role-based access control inside your organisation.
• Quarterly third-party penetration tests and continuous vulnerability scanning.
• Incident disclosure within 72 hours per applicable law.
• Audit logs for every privileged action, retained 12 months.

Your rights

You have meaningful control over your data, regardless of where you live. The rights below are available to every user, every day, via the dashboard or by email.

• Access: get a copy of your data in a portable format.
• Correct: fix anything inaccurate.
• Delete: wipe your account and telemetry, subject to legal holds.
• Export: download as JSON or CSV.
• Object or restrict processing for specific uses.
• Withdraw consent any time, without affecting prior lawful processing.

Delete your account & data

You can have your Fleetile account and the personal data tied to it deleted at any time. Once a deletion is processed, the account is suspended within 24 hours and permanently deleted within 30 days. Fleet telemetry, trip history and personal profile data are purged. Records we are legally required to keep are retained only for the period required by law.

• Workspace admins: open Users Management in the dashboard to delete any user.
• Workspace owners: delete the entire workspace from Companies Management.
• Drivers and staff: ask your admin, or email delete@fleetile.com.
• No dashboard access? Email delete@fleetile.com with your workspace name, device IMEI, or billing details. We respond within 5 business days.

Children's privacy

Fleetile is a business-to-business product designed for fleet managers and operations teams, not for individuals under 16. We do not knowingly collect personal data from minors. If you believe a child has provided us data, contact us and we'll delete it immediately.
